Rental Policies

Please review our rental terms and policies before booking.

Reservation

  • A signed rental agreement is required to confirm your reservation.
  • A 30% deposit is required at the time of booking to secure your rental dates.
  • The remaining balance is due 7 days before your event or upon delivery, whichever comes first.
  • Reservations are not guaranteed until the deposit is received and the agreement is signed.
  • Equipment availability is first-come, first-served. Early booking is recommended, especially during peak season (May to October).

Cancellation

  • If a customer decides to cancel the rental, or weather prohibits installation, we do not issue refunds for any reason but will hold your funds as a rain-check which is valid for 1 year to be used anytime you wish, starting the day after your original event date.
  • Less than 7 days: No refund; full payment required
  • Rescheduling is permitted based on equipment availability and must be confirmed at least 7 days before the original event date.

Rental Period

  • Standard rental period is 24 hours, typically from delivery to pickup.
  • Multi-day rentals are available at discounted rates. Contact us for pricing.
  • Extended rentals beyond the agreed period will incur additional daily charges.
  • Delivery and pickup times are scheduled in advance and should be honored to ensure smooth operations.

Damage & Loss

  • The renter is responsible for all equipment from time of delivery until pickup.
  • Normal wear and tear is expected and will not result in charges.
  • Damage beyond normal use, including stains, tears, and broken parts, will be charged at repair or replacement cost.
  • Lost or stolen equipment will be charged at full replacement value.
  • We recommend designating someone to oversee equipment during your event.
  • Event liability insurance is recommended for large events.

Damage Waiver Plan

  • All orders will include a damage waiver plan. This is in lieu of a security deposit to protect the client from accidental damage to equipment. For full details of the Damage Waiver Plan, please see the contract for your event.
  • The Damage Waiver Plan requires payment of the specified fee. The following conditions are not covered under the Damage Waiver Plan:
  • Any rental items or parts not returned for any reason, including theft.
  • Damage resulting from improper use, improper storage, failure to secure during transportation, overloading, or exceeding the rated capacity of the rental items.
  • Damage to motors or other electrical appliances or devices caused by artificial current.
  • Damage as a result of vandalism, malicious mischief, or intentional abuse.
  • Damage resulting from fire or excessive heat, misuse, abuse, failure to maintain, cleanliness, lack of lubrication, hydration, or other normal servicing of rental items.
  • All damage resulting from overturning.
  • All damage resulting from use of the rental items in violation of any provision of the Rental Agreement, or violation of any law, ordinance, or regulation.

Delivery & Setup

  • Delivery and pickup are available within our 50-mile service area.
  • Delivery fees vary based on distance and order size. Your quote displays all delivery costs upfront.
  • Setup is included for frame tents. Tables, chairs, and other items are delivered for client setup.
  • A clear, accessible delivery area must be provided. Please notify us of any site restrictions.
  • Someone 18+ must be present during delivery and pickup to sign receipt and release forms.

Payment Terms

  • We accept credit cards, debit cards, checks, and cash.
  • Corporate accounts with approved credit may receive invoice billing (Net 30).
  • NSF checks will incur a $35 returned check fee.
  • Prices are subject to applicable sales tax.
  • Quotes are valid for 30 days from issue date.

Weather

  • Our tents provide protection from light to moderate rain.
  • In cases of severe weather warnings (high winds, lightning, etc.), we may need to delay setup or takedown for safety.
  • We do not cancel rentals due to weather unless conditions pose a safety risk to our staff or equipment.
  • Weather-related cancellations by the client are subject to our standard cancellation policy.
